Summary

Admin routes (adminProcedure: SES configuration, team lookup/settings, waitlist, email analytics) now require the platform admin in every deployment mode. Before this change, any signed-in user on a self-hosted instance was treated as admin.

Who is admin now (isPlatformAdmin in apps/web/src/server/platform-admin.ts):

  • ADMIN_EMAIL set (cloud or self-hosted): only the user with that email.
  • Self-hosted, ADMIN_EMAIL unset: the first registered user (lowest user id), i.e. the account that bootstrapped the instance.
  • Cloud, ADMIN_EMAIL unset: nobody (unchanged).

The session isAdmin flag uses the same helper, so the UI follows suit:

  • The sidebar "Admin" item only shows for the admin (previously shown to everyone on self-hosted).
  • The "add SES settings" onboarding screen and its getSesSettings query only run for the admin.

Impact for self-hosters

  • Instances with a single user: no change; the first user is still admin.
  • Invited teammates lose access to the Admin page (SES configurations). If the person who should manage SES is not the first user who signed up, set ADMIN_EMAIL="their@email" and restart.
  • Documented in apps/docs/self-hosting/overview.mdx ("Instance admin" step) and .env.example.

Testing

  • New apps/web/src/server/api/admin-procedure.trpc.test.ts: cloud non-admin rejected, cloud without ADMIN_EMAIL rejected, cloud ADMIN_EMAIL user allowed, self-hosted non-owner member rejected, self-hosted first user allowed when ADMIN_EMAIL unset, ADMIN_EMAIL set → only that email allowed (first user rejected).
  • auth.unit.test.ts: session isAdmin flag for the first self-hosted user vs. others, and cloud without ADMIN_EMAIL.
  • vitest -c vitest.trpc.config.ts: 16/16 passed. vitest -c vitest.unit.config.ts: 133/133 passed. pnpm --filter=web typecheck: clean.

No migrations.

Summary by CodeRabbit

  • New Features
    • Self-hosted instances can designate an administrator with ADMIN_EMAIL, which must exactly match the account email. If unset, the first registered user is the administrator.
  • Improvements
    • Administrator settings and setup screens are visible only to administrators.
    • Admin access follows the configured email on cloud and self-hosted instances. On cloud instances, no users have admin access unless an admin email is configured.

Walkthrough

The changes add platform-admin status rules based on ADMIN_EMAIL or, on self-hosted instances without that setting, the first registered user. Session data and server authorization use the shared admin check. The sidebar and SES settings flow restrict access based on admin status. Tests cover the admin rules and authorization behavior.

Change: Bug fix

Merge Risk: Low · up to 6b2cf

Document the invitation step before changing ADMIN_EMAIL; the remaining case-sensitivity concern should also be addressed to avoid losing configured admin access.

Set the cloud mode in this test explicitly.

This test does not set mocks.env.NEXT_PUBLIC_IS_CLOUD. It gets cloud mode only from the outer beforeEach, which resets the value to true. The test passes now, but it depends on that hook. If the reset were removed, the earlier test in the same describe block would leave the value at false. The mocked user with id: 1 would then be treated as the first self-hosted user, and the false expectation would fail. Setting the value in the test makes its intent clear and removes the dependency on hook order.

Compare ADMIN_EMAIL without case sensitivity.

The check user.email === env.ADMIN_EMAIL is case-sensitive. The email stored in User.email comes from the OAuth or email provider as-is. canRegisterSelfHostedUser also looks it up in its raw case. An operator can set ADMIN_EMAIL="You@Example.com", and the provider can return you@example.com. Then no user is admin. On self-hosted instances, nobody can open the SES setup screen. Email addresses are case-insensitive account identifiers, so compare in lowercase.

Admin procedures now require the platform admin in every deployment mode. ADMIN_EMAIL selects the admin when set; otherwise a self-hosted instance treats its first registered user as admin. Other users no longer see the Admin page or the SES setup screen.

Document the invitation requirement for ADMIN_EMAIL.

After the first account exists, an unregistered ADMIN_EMAIL user needs a matching team invitation before signing up. The former instance admin loses Admin-page access but can still create the invitation from Team settings.
